How Does HubSpot Track Whether AI Assistants Are Citing Your Business?

HubSpot’s AI Search dashboard tracks citations, competitors, and content gaps. Here’s what it actually shows and what to do with it.

Through a dedicated AI Search dashboard that tracks daily prompts against answer engines like ChatGPT, Gemini, and Google AI Overviews, showing whether your business gets mentioned, who’s beating you to the mention, and what to actually do about it.

10+ years into working inside HubSpot, as a Gold Partner agency, this is genuinely one of my favorite tools to open with a client for the first time, because it turns something that used to feel invisible into something you can point at. We’re getting into the details now! HubSpot is more than just a place to track your Deals or Leads…and the organization of it all matters.

What’s Actually in the Dashboard

The dashboard tracks a handful of things that matter, and they’re worth breaking down individually because each one answers a different question.

Visibility shows up first: how often your business gets mentioned across tracked prompts, trending over time. Citations go a layer deeper, showing exactly which of your pages or content pieces got pulled into an AI-generated answer, not just that you were mentioned, but what specifically earned the mention.

Competitors get tracked right alongside you, so you can see who’s winning the same prompts you’re losing. Prompts themselves are the actual questions being monitored, based on your CRM data and audience, not a generic industry template. And trends tie it all together over weeks and months, which matters more than it sounds like: showing up in AI answers isn’t instant, so a single good or bad week doesn’t get mistaken for a real pattern.

Together, that’s a genuinely useful picture of what it actually means to be visible in AI search, not a vague sense that “AI search matters,” but real, trackable data.

Worth being upfront about: this level of dashboard comes with Marketing Hub Pro or Enterprise, or as a standalone AEO subscription. It’s not a free feature. HubSpot does offer a free AEO Grader as a lighter starting point, which we’ll break down in a separate piece, but the full dashboard with prompt tracking, competitor data, and trends is part of a paid plan that we can help get you set up with.

The Recommendations Tab Just Got a Lot More Useful

This is the part that’s genuinely new, and it’s worth pausing on. The Recommendations tab has always surfaced content gaps, topics where your business isn’t showing up but reasonably could. What changed is what happens after you see the gap.

HubSpot’s new Content Agent, now in public beta, can generate a blog post, a LinkedIn post, or a LinkedIn article directly from an AEO recommendation. Answer engine optimization (AEO) is the practice of structuring content so AI assistants cite or recommend it. HubSpot revealed today what their AI tools will be able to do inside the platform at the INBOUND conference in Boston. Lots of great resources coming our way!

Example of the content agent in HubSpot

Content Agent pulls in your brand voice settings, CRM insights, content performance, and ideal customer profile to draft something grounded in your actual business, not a generic template. It doesn’t publish automatically. A person still reviews and edits every draft. But the gap between “here’s what you’re missing” and “here’s a draft closing that gap” just got a lot shorter.

Reports Aren’t the Work. This Part Is.

Here’s something we hear constantly from businesses that have worked with other agencies before us: most agencies are happy to hand over a report, walk through a slide deck, and send an invoice. What happens with the recommendations after that meeting is the client’s problem.

That’s not how we operate.

When the dashboard shows a content gap, whether that’s an article your site is missing, a social post nobody’s written, or a topic that would actually work well as a short video, we don’t just flag it and move on. We write the article. We build the social post. We help plan the video.

Then, because it’s all tracked in the same system, we can show you exactly how that content performed: whether it moved the needle on citations, whether it changed how a prompt trends over the following weeks, whether competitors who were beating you on that topic are still beating you.

That’s the actual loop: show you what’s missing, go make it, then show you what it did. A lot of agencies stop after step one, which is really the whole difference between an agency that uses AI tools and one that actually builds AI visibility. Genuinely helpful content doesn’t come from a recommendation sitting in a dashboard nobody acted on.

Why This Builds AI Authority Instead of Just AI Visibility

It’s worth separating these two ideas, because they get used interchangeably and they’re not quite the same thing. Visibility is whether you show up. AI Authority is the expertise, trust, and consistency that makes an AI assistant more likely to recognize and recommend a brand in the first place, the thing that makes visibility durable instead of a one-time fluke.

A dashboard that tracks citations and competitors is useful on its own. It becomes something else entirely when the gaps it surfaces actually get filled with real content instead of sitting there as a to-do list nobody has time for. That’s also, incidentally, why who’s actually mentioning your business tends to shift over time for the businesses that keep closing those gaps, and stays flat for the ones that don’t.

Fireball Agency built our whole process around this loop for clients here in Kansas City, because a recommendation nobody acts on isn’t actually worth much. If your team has a dashboard full of gaps and not enough hours to close them, that’s a conversation worth having.
